The dream for couples is completing every detail on the wedding checklist. But they want to feel like a star. A month-of-coordination package is becoming more mandatory, but some still doubt the benefits. There are infinite reasons why couples will benefit by securing a month-of-coordination package. The reasons range based on the personalities and goals of the wedding.

I could go on forever– but I won’t! I’m covering my top 5 reasons why you should book a month-of-coordination package for your wedding.

Philocalist Designs Month-of-Coordination Package

In my month-of-coordination package, I’m dedicated to giving my couples a break. When it comes down to it, planning a wedding takes around 300 hours before the wedding day even arrives! That’s not a small time commitment, right?

Start to think about it from that perspective. It’s a big reason why there are people like me who dedicate their careers to wedding planning.

For a day that is captured in a thousand photos, there should not be any stress or worry. You shouldn’t be timing events, leading guests, or wondering when and what you will eat on your wedding. I sit down with my couples one month before their wedding day. This kicks off the month-of-coordination package to hammer out all the details.

During this meeting, we map out all song choices, order of events, and assigned locations. I’ll make sure the vendor team knows all the small items of the day like the back of their hand.

What else do I include in my month-of-coordination package that I find non-negotiable?

  • Collect and arrange wedding day items such as marriage license, guestbook, cake cutting set, cake topper, toasting flutes, favors, candles, escort cards, place cards, chargers, etc.
  • Manage the flow and timing of the ceremony and reception including cueing music
  • Act as a liaison between all wedding party, family members, friends, guests, and vendors
  • Distribute final payments and gratuities
  • Direct all tear down and event clean up

Takeover at 30 Days Out

If you opt for the month-of-coordination package, you are planning your entire wedding. That’s a lot of work. When will you get a break leading up to the day of the wedding?

I start stepping in at 60 days from the wedding date. At this point, I review the behind-the-scenes details in your booked vendors. This essential bit of work of reviewing contracts is something you must do. If I see anything that needs to be changes, we’re not waiting until the last minute. Many final guest counts secure with vendors in the last month. By taking a look 2 months out, the necessary changes won’t panic you.

At 30 days out we will transfer all your beautiful plans, and you will finally get to take a deep breath. Now, couples find that family members and friends start asking more detailed questions. It’s not ideal, but if you’re able to step back from event managing, you’ll have the space to answer those!

You won’t have to answer any emails or make any more wedding day arrangements! With the month-of-coordination package, my goal is that you will start to relax.

“If I’m spending more on an extra service like a month-of-coordination package, I am NOT saving money.”

That’s true. You won’t get a discount on your wedding budget, but you will guarantee that the money does not go to waste. No one wants to spend hundreds and thousands of dollars to stress on the biggest day ever!

By investing in a month-of-coordination package, you protect all your wedding day investments. You will preserve the experience and memory of this priceless day. You and your family aren’t going to be playing many roles on your wedding day.

There are actual ways that a month-of-coordination package can save you money. Your planner will ensure all policies fulfilled and zero fees charged. After you leave the reception, you are off to wedded bliss.

There isn’t time to go through the details of the contract to avoid fees!

No Clean Up

We’ve all been to weddings where family and friends had to play the part of cleaning up at the end. I’ve even seen weddings where the bride and groom have to clean it up themselves after all of the guests left. WHAT??

As a Nashville wedding planner— that’s my nightmare. And this situation breaks my heart. When you do not choose a month-of-coordination package, you run the risk of being in this situation.

Before the day even approaches, it’s my job to plan for avoiding any work assigned to the couple. It’s included in my service to give the assignment to vendors first. There’s been many times where I’ve told the mother of the bride to stop cleaning! I’ve spent plenty of time reviewing contracts of vendors to know who is responsible at the end of the night.

Month-of-Coordination is Different From the Venue

I’ve heard this phrase too many times to count:

“We have a venue coordinator included in our package.”

In a few cases, this is a great addition! Shockingly, there are many venues that label themselves with these services. The truth is that they do not cover everything like a month-of-coordination package!

I talk a lot about this in my blog HERE. Recently, I even came across an all-inclusive wedding venue that still needed the couple to hire me. If not, they would not have the necessary coverage!

A venue coordinator has specific limits on the level of work they will complete. They will be acting on behalf of the wedding venue first. Hiring a month-of-coordination package with Philocalist Designs means that I act on behalf of the couple first.

Month-of-Coordinators will be Your Advocate

The horror stories from weddings stack high. The stories seem endless and they are great clickbait! But they’re not fun to experience.

When my couples hire the month-of-coordination package, I answer to them– instead of others. I discuss the exact details about what the couple wants and needs. With my services created for the couple, I am able to be a true advocate for them. If there are decisions or desires expressed by other people, my priority is the couple!

Many planners and coordinators operate this way. If you ask a planner how they handle these situations, you need to make sure they put you FIRST!

Couples find advocating difficult leading up to the day, and they do not want to act as the buffer between conflict. They also do not want to make decisions the day of the wedding. Not only is it not fun… but they will not have time!
